Accounting Assistant

Position Summary

The Accounting Assistant will support the daily administrative operations and accounting needs of the Finance and Accounting department.

Areas of Responsibility

  • Perform basic general ledger analysis and reconciliations, including maintaining a list of open items, such as outstanding checks
  • Prepare basic financial reports
  • Organize and manage accounting files, accounts payable files, records and databases
  • Assist with maintaining the books and records of the Foundation’s Unity subsidiary
  • Assist with accounts payable invoice entry and mail grantee and vendor checks
  • Perform OFAC checks for the Foundation’s vendors
  • Coordinate completion of IRS required forms for the Foundation’s vendors
  • Copy, scan, print and fax documents
  • Assist with the preparation of committee meeting materials
  • Collect and compile investment managers’ reports
  • Compose, type and edit documents, presentations and correspondence
  • Maintain individual and departmental calendars, make travel arrangements, and process expense reports for the department
  • Coordinate with the Legal Department the processing and maintaining all legal contracts
  • Answer, screen and direct incoming telephone calls and greet visitors and guests
  • Schedule and coordinate meetings
  • Other duties and projects as assigned

Criteria & Relevant Skills

  • Bachelor’s Degree, preferably in Accounting or Business, or relevant work experience
  • Minimum of 3 years’ experience in administrative or accounting operations
  • Experience with paper and electronic document management
  • High-degree of professionalism and accountability
  • Clear and concise verbal and written communication skills
  • Exceptional interpersonal, communication, administrative, organizational and editing skills
  • Detail-oriented with the ability to manage multiple projects and tasks simultaneously
  • Proven ability to work under pressure, exercise sound judgment, maintain confidentiality, and operate both independently and as part of a team
  • Excellent computer skills, including proficiency with MS Office software (particularly Excel and PowerPoint) as well as Adobe Acrobat Pro, are required
  • Timely approach to problem-solving; initiates internal customer-centric environment
  • Participate in departmental effort of continual improvement
  • Relevant professional and personal interest and understanding in areas related to the Foundations’ mission and core themes is essential
